Trouble, spotted before it lands.

The morning sweep: every name on the loan book checked, one match flagged, and the risk desk’s follow-up logged.

The client

The lender works in private credit, writing loans of $250,000 to $5 million against property close to Melbourne, Sydney and other major cities. Its edge is speed: a team of six can fund a loan in 5–10 business days, with a short, plain-English loan agreement.

That speed depends on a small team staying across a growing book. With the team growing from five to eight, the founders wanted to take the admin off their plate — starting with the job that matters most: knowing early when something goes wrong.

The challenge

Trouble often shows up in public first — a court filing, an ASIC notice, a story in the press. But nobody had time to search every name, every day, so the team usually found out when a repayment ran late.

The loan book lived across the CRM, Monday.com and a set of personal Excel sheets, so there was no single list of who to watch. Credit summaries and meeting notes were written by hand, and off-the-shelf transcripts needed so much editing they barely saved time. Every new loan added more admin to a team built for speed.

What we did.

01

Started with one pilot

We mapped 14 opportunities with the team, then picked the one with the most at stake: an early warning on the loan book. One agent, three workflows, three connected tools.

02

Built Scout

An AI agent that knows every borrower, guarantor and director on the book, and checks each one against ASIC notices, court lists and the press every morning.

03

Put it where the team works

Flags land in the CRM and Monday.com with the exposure and a suggested first step. Scout drafts the credit summaries and meeting notes too.

Loan 0412: Scout’s credit summary, everyone it’s watching and the last 14 mornings of checks.
The risk desk thread: Scout’s flag, the credit manager’s call and the note saved to the CRM.

How it works.

One morning, one flag, one phone call.

  1. 01Scout

    Sweeps the book at dawn

Before the team arrives, Scout checks every name on the loan book against ASIC notices, court lists and the press.

  2. 02Scout

    Finds a match

A winding-up application against a guarantor’s company, filed the day before. Scout ties it to the right loan, the exposure and the security.

  3. 03Scout

    Flags the right person

The credit manager gets the flag with a short note: what happened, who it involves and a suggested first step.

  4. 04Credit manager

    Makes the call

She calls the guarantor and gets the full story. It’s a dispute with one supplier, paid out on Friday — and her note goes straight into the CRM.

  5. 05Scout

    Keeps watching

The loan moves to Watching on Monday.com, and Scout checks the court list every morning until the application is dismissed.

What changed.

For the credit team

The day starts with a short morning brief instead of a pile of searches. Most mornings it says all clear. When it doesn’t, the facts are already gathered.

For leadership

One view of the whole book — who’s being watched, what’s been flagged and what was done about it — without chasing anyone for an update.

For the business

Trouble shows up while there’s still time to talk, not when a repayment is missed. And the book can grow without the admin growing with it.

The results.
