Live on the day: a facilitator checks an attendee in, the attendee rates the activation, and the sponsor’s report updates.

The client

The tour is Australia’s biggest 3x3 street basketball championship, now in its 14th year. The 2026 season ran qualifiers in Brisbane, Perth, Melbourne and Sydney, then a three-day finals weekend in Melbourne.

It’s backed by big names in sport, beauty and drinks, and each one runs an activation on the day. To keep those partners and win new ones, the team needed to show exactly who turned up, what they did and what they thought — with less than four weeks until the first qualifier.

The challenge

Attendee data was scattered across registration portals, ticketing systems and one-off Google Forms. There was no way to follow one person across activations, so sponsors got headcounts, not insight.

Sponsors wanted proof: who visited their activation, how they rated it and whether they remembered the brand on the way out. Pulling that together by hand took weeks, and it still couldn’t show when the crowd peaked or where people had come from. The team also wanted solid audience data to price partnerships properly as the tour grows into Asia-Pacific.

What we did.

01

Made surveys worth doing

Every activation has its own QR code and a survey that takes under a minute. Each one earns prize-draw entries, so the more people join in, the better their chances.

02

Gave facilitators one tap

A facilitator view in the same app shows who’s due next. Tap a name when they arrive — no scanning, no extra hardware — and bonus entries land in their app.

03

Reported live to every sponsor

Every answer is timestamped and tied to one attendee profile, so each sponsor gets a live report: when people came, who they were and what they thought.

A sponsor’s live report from finals weekend: when people came, who they were and what they thought.
The facilitator view: tap a name when they arrive, and bonus entries go straight to their phone.

How it works.

One attendee, one activation, one live sponsor report.

  1. 01Attendee

    Signs up at the gate

They scan the entry QR code, make a profile in under a minute and earn their first prize-draw entries.

  2. 02Attendee

    Finds what’s on

The app shows the schedule, every sponsor activation and which ones need a booking.

  3. 03Facilitator

    Checks them in

At the activation, the facilitator taps their name. The check-in is timestamped and 5 bonus entries arrive in the attendee’s app.

  4. 04Attendee

    Rates the experience

Three quick questions from the sponsor — how was it, had you heard of us, who’s your team — earn 10 more entries.

  5. 05Sponsor

    Sees it live

The answers land in the sponsor’s report seconds later, alongside the busiest times, age groups and postcodes.

What changed.

For attendees

Surveys feel like part of the game. Each one takes under a minute, and every activation and survey adds to their chances in the on-stage prize draw.

For facilitators

One phone and one tap per person. No scanners, no clipboards, and a live list of who’s due next on court.

For sponsors and the team

Each sponsor gets a shareable live report on their own activation. The team gets one view of the whole crowd — the data it needs to price the next round of partnerships.

The results.

17Days from kickoff to a live app, in time for the first qualifier
5Events across four cities, running on one app
2Views in one app — attendee and facilitator — with no extra hardware

Under the hood.

One profile per attendee
Every survey, check-in and entry ties back to one record, so a person’s day can be followed across every activation.
A QR code per activation
Each sponsor zone has its own code and survey, with questions that adapt to earlier answers.
Works on patchy wifi
If the venue connection drops, answers wait on the phone and send as soon as it’s back.
Everything timestamped
Every survey and check-in is timestamped, which is what powers the busy-times heat map.
Shareable sponsor reports
Filter by sponsor, event or day, then share a live link or export to CSV or PDF.
Privacy built in
Built to the Australian Privacy Principles. Sponsors only see aggregated, anonymised results, and sensitive questions are clearly opt-in.
